Can Do Basics Blog 2: Practice Makes Excellence Easier!

In the Can Do Basics Blog 1, I talked about the foundation of the Can Do Workplace Model – Mission & Gratitude.  Blog 2 is all about practice.

Remember the old question: How do you get to Carnegie Hall?  Answer: Practice!

Here’s the new question: How do you build, nurture and sustain a Can Do Workplace? With four key practices:

  1. Full Alignment
  2. Making Quality Decisions
  3. Using Change to Achieve Growth
  4. Crafting & Simmering the BEST Secret Sauce

practice-mdPractices implies a forward movement based on repetition. And that is why I called them practices and not elements or components. Yo-Yo Ma practices every day. So do Taylor Swift and Paul McCartney. As do Katie Ladecky and Michael Phelps. They have grown to superstar status and achieved excellence in their fields because they have committed to practicing. Why should it be different for a workplace? Especially in a nonprofit, with its mission to make the world a better place?

The first practice is Full Alignment, which means that all areas of the organization are well-connected and communicating.

Well-connected is to ensure that everyone is headed in the same direction. This happens best when the people who are accountable for outcomes are aware of their expectations and are able, equipped and supported to deliver on them. And then, they do deliver on them.

Communicating is to ensure that the messages – inside, outside and across the organization – are consistent, strategic, timely and true. It also means that everyone in all departments and at all levels of an organization can give similar answers to the questions: “what we are doing? …and why?”

Strong alignment fosters mission and promotes gratitude. Lack of alignment is often discovered when things start going wrong!  HINT: That is not the best time to make corrections!!  So, it’s good to know: how well is your organization aligned?  How many silos are there? What are the biggest barriers to communication? How is accountability understood? How different are the “missions” as stated in each of your organization’s departments or areas?

pyramidThe second practice is Making Quality Decisions. Not just at the Board meeting or by the department heads, but all the way through the organization. The best quality decisions are the ones made according to the pyramid model: only the most critical policy decisions are made at the top, and the rest are made as close to the customer or client or product as possible. The trick to having that succeed as a model is to share information and provide support and training for people to make great decisions at every level of the organization – every day.

Making quality decisions also requires being able to ask the right questions and listen carefully to the answers. At the time I wrote my first book, The Can Do Chronicles, I defined what I call the Three Can Do Questions, which I find very valuable in all areas of my decision making:

CDQ 1) What can I do?  Keeps the focus on possibilities first, and barriers second.

CDQ 2) WHAT ELSE can I do? Keeps new options and fresh ideas perking all the time!

CDQ 3) Just because I can do it, should I?  Again, keeps options open until I know for sure: Is it the right thing to do? Is it the right time? What else do I need to learn or who else needs to be involved before I make and act on this decision?

The third practice is Using Change to Achieve Growth.  This cartoon says it all:

The message is clear – we all want it as long as we don’t have to do it!

Can Do Workplaces have what Carol Dweck calls Growth Mindsets. We can’t grow if we don’t want to change – ask the butterfly or the frog. The key is to link change with growth. More people understand and accept the value and benefits of growth than they do of change. As leaders of Can Do Workplaces, it is on us to understand, predict and promote change & growth – all of the time – one step at a time.

The fourth practice is Crafting & Simmering the BEST Secret Sauce.  Aaahhhhh… the secret sauce – with its uniquely combined ingredients, its spices and aroma – is the signature quality of an organization. The best secret sauce is what keeps people – employees, clients, volunteers, funders and donors – coming back, wanting more and willing to work hard to get there. Many nonprofit leaders take great pains to develop a stellar strategic plan, but don’t include the recipe for the secret sauce – that is, what will make the organization unique and the people in it want to excel. Not just when the times are good!

Puppy Love!

IMG_20150819_064045174On Monday morning, we welcomed Gracie, a 10 week old Westie, into our home, our hearts and our lives! She is full of light, love and unending energy. For the next several months, our lives – hers and ours! –  will be filled with “training”. First there is the usual “housebreaking” routine. So far, it is going pretty well. Then comes learning to NOT chew on electrical cords, the fringe on the good rugs and the leg of my side table. We are also trying to get her to understand what the words “no”, “down”, “come” and “stop” mean.

Watching her discover her world in such a free form way with a pure zest for life gives me pause and invites me to reflect on the careful balance that this “training” needs to keep to allow the most and best “Gracie” to emerge while she learns some of the important rules of the road. Remembering that it’s about all of us learning what she Can Do, not just teaching her to understand and respond to “NO!”

As I watch her entertain herself with toys and scraps of paper and run and jump like a bunny in the yard, I also reflect on my own need to let go a bit and rediscover some of the creative, goofy, carefree puppy energy in myself. Not full time – I still have lots to do and deadlines to meet. But during these special, formative weeks ahead, I want to be intentional, take the time and join in some of Gracie’s puppy moments with her. Including taking great naps!

FACT: Writing a Book is HARD Work!

What was I thinking?

shutterstock_123128329That it would be an easy write?  I have been working in nonprofits a long time.  I have developed the core concepts and have the four organizations that I am featuring as the case stories.

I guess I thought that with that great framework that the “book would write itself.” Not literally, but you know what I mean!

That is NOT happening.

I had the ideas conceptualized in ways that felt really clearly defined in my head.  I am not sure what happens between my brain and my fingers on the keyboard, but what comes out the first time is not clearly anything..

I thought that I wanted to maybe “go somewhere” to do all the writing at once. A “writer’s retreat” kind of place to help me focus, you know!  O.M.G. am I glad that it did not work out that way!  I would have gone stir-crazy with only the book.  It has layers and levels and chapters and connected ideas that are unfolding before me       v      e      r      y         s     l      o    w        l             y.  I would have to live there for months!

But, all of that said,

One thought, one page, one chapter at a time.

I am making great progress.

And, I am very impressed with the results so far! (Sometimes I hate the results, but those moments are fleeting!)

Gratitude Is a Choice!

The quote this morning in the gratefulness.org email was from Henri Nouwen, and it really hit home with me.

GratitudeGratitude as a discipline involves a conscious choice. I can choose to be grateful even when my emotions and feelings are still steeped in hurt and resentment. It is amazing how many occasions present themselves in which I can choose gratitude instead of a complaint.

 

Life has been a little bumpy of late – that kind of bumpy that comes with change & growth!

For example, last week, I had a MAJOR let down in my search for new work. The kicker was that very disappointing news was delivered in a wholly unprofessional and dismissive way. It took me a while to find my breath, let alone my attitude of gratitude. I asked my friends for support and prayers and took long walks, and said more than a few prayers for everyone I had met in the search process, including the one who had been so rude. Then, I took that great advice from Joe Walsh and the Eagles – GET OVER IT!

Now, it is all history: THIS TOO SHALL PASS was true once again!

Then there is WORK, which is not bad, but JUST PLAIN HARD & TEDIOUS!  My current Interim Executive Director position is with an agency that, sadly, is shutting its doors. Closing down an organization is not an easy task. My days have been filled with creating comprehensive, detailed reports, both programmatic and financial, for contracts and programs I did not even know about until they were long over! The deadline to have them all delivered is tomorrow. My eyesblack-mold-allergy-problems-itchy-eyes are about to bleed from compiling spreadsheets and reviewing bank statements and receipts!  I have had help from one remaining manager whose last day was today. The rest is up to me – to tie up loose ends and get the invoices in to get the money in, then to close and pay off vendor accounts and begin the dissolution process. Details, details, details and then new details. They are unending, and I keep finding out there is more that needs to be done than I first believed on almost every front! During this ongoing challenge, and I am grateful for many of the people I have just come to know (and won’t get to know for long!!), who have been extremely supportive of me as I have tried to make sense out of it all!

So, even though I am tired and my eyes are going to fall out…

Even though the journey is taking me in directions that are quite different from what I was led to believe week before last…

Even though the future is very uncertain as I write…

I am grateful:

For my health.  I can’t say that one often enough.

It’s Complicated…

There sure is a lot going on in the world, and we know so much more about it because of technology. There have been earthquakes, avalanches and community violence for millenia. We are just the first to have it in our faces 24/7 on Instagram and Twitter. The style and pace of the coverage makes it easy to gloss over as so many images draw the attention of the TV and Internet and Selfie cameras.

#prayforbaltimore can easily become a cliche instead of intention.

Our prayers get lost in the noise, and the good intentions get lost in the crowded computer screens. “Broken backs and broken windows.” The insightful commentary can become lost in the sound bites.

In Baltimore, it is hard to move forward when the “sides” that get drawn focus on blaming and continuing the polarizing actions that contributed to the violence.

My perspective is different than most “white chicks from the suburbs” because of my work with kids in criminal and juvenile justice systems for so much of my career.  I was the CEO of a residential program for young men much like the ones that over-ran the streets in Baltimore this week. My goal was to prevent exactly what just happened.

In early 2006, the kids had a fight in our school that led to a confrontation with the State Police, and we were “breaking news at 11” for two very long nights. Neither side was fully in the right then, either. I still pray for the kids who ended up in jail that week and wonder what I could have done to prevent it. And, I pray for the police who thought they needed to “take control” of a situation that had been contained for quite some time before they arrived with mace and threats and force, and wondered why the kids reacted poorly.

And, so today and for months to come I will #prayforbaltimore. Pray for the kids and for the parents – black, white, brown and mixed. And, pray for the police – for healing and wisdom. And, I pray that the messages being delivered via mass media, social media and kitchen table conversations about how we treat each other be thoughtful and based on our shared humanity, and not on our fears and differences.

I hope that you will join me in that prayer. It’s what we Can Do.

Sharing a little bit of Serendipity!

I love serendipity… it makes life so much more interesting.

Last year, I rejoined Rotary International as my primary civic and volunteer activity. Rotary is a VERY Can Do organization with its motto, Service Above Self!  Of the over 100 people I have met since joining the Alexandria club, I am truly enjoying getting to know my new friend Joann. Joann is a woman with great flair and a very unique style!  A redhead with a delightful laugh, she makes a strong fashion statement with her colorful, chic wardrobe. Joann also has a special spark to her personality that makes great lunch table company at our Tuesday meetings.

I was out of town two weeks ago, working hard and long hours on a BIG project.  I kept so busy that I only glanced at Facebook for a few minutes each evening. During one of those “drive by” sessions, I saw a posting from the Humans of New York series with a picture of a woman who looked a lot like Joann. I didn’t think it more than a coincidence because Joann is a Human of DC!

But, as I came to learn last week, it IS Joann! How cool is that?  We joked about her going viral, and she said she had no idea what “going viral” meant until it happened to her.

So, here I am to celebrate this bit of whimsy and serendipity with you. Taking time to celebrate this coincidence and life’s other little bits of wonder brings a smile in an otherwise very stressful day!

I also recommend the entire Humans of New York series if you enjoy human interest photography. The pictures and stories they tell are fascinating.  And, you never know… you may find your long lost college roommate or your next door neighbor here as well!

It’s Time for the 6th Secret of a Can Do Life

Remember, life comes in cycles.  It’s quite simple and quite timely, this 6th secret: Remember, life comes in cycles. Just when we are SO READY for winter to be over and SPRING to get here.

spring-clip-art-spring-flower-clipartSpring is COMING! There are little signs around us.  It’s March. Spring training games started in Florida and Arizona this week. Daylight savings time starts this Sunday. While it is sure to snow a couple more times in many places across the US, it is a bit easier to take because Spring is COMING!

One of life’s great blessings is that our life comes in cycles. Daily. Monthly. Seasonal. Repeated, yet always changing.

How is Life Comes in Cycles a Secret of a Can Do Life? At the core of my Can Do life is a commitment I make every day (sometimes more than once a day!) to live my life with a positive attitude, grounded in gratitude and based in reality. The great thing about life coming in cycles is that no matter how yesterday went for me, I get to start each day new with this commitment.

shutterstock_77844214Life cycles give us two opportunities – one is to start over!  Not in the Scarlett O’Hara procrastinating way of “I’ll think about that tomorrow!” But in the ability to recommit with new energy to how we live our life and work toward our goals. The sunrise brings new light and new energy.

As does spring. For spring, we have rituals, like spring cleaning to brighten and light up our environment. For some of us, it is a re-commitment to exercise after the winter hibernation filled with comfort food and loose fitting sweat pants! Some people go away for Spring Break to play in the sun. In the Christian and Jewish faith traditions, we celebrate Easter and Passover, both of which are filled with symbols of new life, freedom, promise and hope.

valentine-clipartcom-free-valentine-clip-artLife coming in cycles also gives us the opportunity to remember moments, such as anniversaries and birthdays. To remember and to learn important lessons from the past for our future. Then, to recommit. For me, February 14th is much more than Valentine’s Day. It marks my anniversary of remission from Chronic Lymphocytic Leukemia.  It reminds me of how precious my health is and how privileged I am to have it restored!  I try to keep that in mind every day, but I celebrate my health and my new life in a special way on Valentine’s Day!  And I use that day to commit again to working on my goal of keeping myself healthy.

As spring awakens the earth after the long, cold, grey winter months, I invite you to join me in recommitting on a new level to a whole and healthy life – YOUR Can Do Life.

Imagine hoTodayw much happier, more productive and stronger our families, neighborhoods, workplaces and communities would be if everyone made a commitment starting today to live his or her life with a positive attitude, grounded in gratitude and based in reality.

The 4th Secret of a Can Do Life is…

MAKE AND TAKE TIME FOR REFLECTION

For me, it is the hardest one of them all. I have places to go and people to see and things to do and deadlines to keep. When I was 11, I played Alice in the local library production of441926-Cartoon-Businesswoman-Running-With-Late-Files Alice in Wonderland. The only line I remember is, “I’m late, I’m late for a very important date. No time to say ‘Hello,’ goodbye. I’m late!  I’m late! I’m late!”  Even when I am on time, I always feel like I am behind – late, late, late!

Waiting is agony for me, especially if I don’t have my phone or a book or my computer to keep me company. When I am on a webinar or conference call, I check my email and Facebook during the “in between” times. In between when I am paying attention, that is.  Sometimes, I feel like I have lost my ability and patience to be still. To be at rest. Quietly reflecting.

What is that all about, anyway? When I write it down, it sound absurd! It would be like only driving my car at 70 MPH. That pace of life gives adrenaline way too much power. And, it leads to burning out. I know. I burned out once, and I promised myself I would never go back there. I can still get to the “sort of crispy” point, then have learned to pull myself back in. Hey, at least now I stop for yellow lights!!

Since my chemo days, I have tried harder to make and take time for reflection. Tried. Ash wednesdayHave not always succeed, even though it is one of the Secrets, and therefore pretty important to me!  So, I set a goal that actually gets kicked off today. Today is Ash Wednesday, the beginning of the Christian season of Lent. I signed up for a retreat program through my church, based on St. Ignatius’ Spiritual Exercises, and as part of the retreat have committed myself to 40 minutes of prayer and meditation every day between today and Easter. I am excited to find out what I will discover.

Reflection. For me that means prayer and meditation as ways of connecting and communicating with my God, my Creator, my friend, and the places inside myself where that connection is strongest. To listen, to be curious. To share my dreams. To deepen my commitment to achieving those dreams.

For others, this reflection time might involved art or music, dance or nature.

shutterstock_121922443My reflection time allows me to focus on my dreams. Talk to God. Talk to myself about the why and the how, leaving the when and where to a later time. Reflection time allows my body and brain to decompress and rest. Expands my thoughts and lets my creative juices take the place of all that deadline-driven adrenaline. Balances the different parts of me – the inside with the outside. Reflection unlocks my heart to let it be heard… and to it be fed.

Some people think that refection or meditation or prayer is boring. For as much of an IMG_20140705_220935633adrenaline junkie as I can be, I really love becoming lost in the flames of a fire or the sounds of the ocean. Watching the changing colors of a beautiful sunset – or sunrise. Letting my senses stretch and hear, see, smell, taste and feel a littleMBH picture for blog more of what is going on on the inside and the outside. Inviting my soul to connect with my brain and my feet and my calendar and the rest of my life. Listen, listen, listen and learn.

No matter what your faith tradition, today is a good day to commit to making and taking time for reflection. Start with a big enough, while still manageable, goal. Build the time gradually. If reading, audio or video materials help, between Google and the library, you can find just about anything you need for free: find blogs and YouTube videos, poetry books, art books and classical music.The last section of the Can Do Chronicles has an area with quotes and prompts for meditation.

shutterstock_129151931I recommend that you keep a journal with the insights and ideas that come to you as you meditate, so that these gems do not get lost in the busy-ness of the rest of your life.

The Second Secret of a Can Do Life Is…

…to be and stay goal driven.

Can you name your life’s goals as easily as you can name your favorite foods or your favorite vacation destinations?  Do you set goals, yet never seem to make enough progress toward accomplishing them?  Are your dreams real for you, or just something you use to think about as an escape from your current situation?

Goals are dreams with deadlines - motivational phrase on a vintaThere are so many things that I could say about goals, their connections to dreams and the power that they have to change your life, much more than this little blog post can hold. The message I want to communicate here is about the importance of having and working toward your goals, and making sure your goals are connected to your life’s dreams.

Why is being and staying goal driven the second secret?  Because our goals based on our dreams give our lives meaning… and they give us hope when life gets hard and messy. Our goals can provide us with the motivation to overcome life’s challenges that come between us and our dreams.

Setting meaningful goals requires us to be able to define and describe our dreams. It is never too late!  Age does not matter. In fact, I would argue that as we get older, it is just as important to us, and to the world, that we work to know, aspire to and reach our dreams.

What are your dreams? I encourage you to take some time in the next few days to think about those dreams. Mine dream has been to be a writer… to use my words, images and stories to motivate and inspire people to reach their potential.  I am in this moment, quite literally, living my dream!  And, it is AWESOME!

Our goals provide the road map on our journey toward those dreams. Newton’s first law of motion is: a body in motion tends to stay in motion; a body at rest tends to stay at rest. Coridan’s Corollary is that a life in motion tends to stay in motion… We need to be and stay goal driven to keep our lives moving in the direction that meets our needs and keeps us healthy. Otherwise inertia creeps in, and we know that a life at rest does not achieve its dreams!

Not all goals are the same. For one thing, they come in sizes. There are big goals, like buying a house, getting a degree, raising a family, retiring to a warmer climate… and then there are the smaller goals that lead us to the big ones, like saving money, enrolling in a class, meeting someone special with whom you would consider raising a family, and again, saving money. Breaking things down into a smaller, more manageable size makes the goals easier to achieve.

America Football field with ballI like to think of the need to set smaller goals as the “rule of the first downs.”  I am a big Ohio State Buckeye Football fan. I know that this dream that we just realized of becoming the National Champions did not all happen with big plays and dumb luck. The team focused (in part) on working together on basics, on getting first downs and building the momentum and the rhythm to be ready when they have a chance – and THEN they made the big plays. When I watch football, I sometimes yell at the TV to remind the Buckeyes, or the NY Football Giants, that when they have the football, they don’t have to do any more than get that next first down unless the opportunity is really solid for the big play. First downs create scoring opportunities and build momentum. First downs win games.

Do you want to become more goal driven?

Set Goals Hand Red MarkerTo help get you started, I have several questions: What are your big goals?  The ones that you focus on for a year or two at a time?  How are they connected to your dreams?

Then, what are your smaller goals, the ones that form the steps on the way to your bigger goals?

Where are you starting?  If your big goal is to run a marathon next year and you have not worked out in five years, I hope you will create a different plan than if you have been running 5Ks and are ready to step it up!

Start by writing your goals down today!  Work with them, revise them, talk them over with your family and friends. Start small and build – daily, weekly and monthly goals function to help keep things manageable. Losing 5 pounds usually comes before losing 10; running a mile comes before winning a marathon! Writing your goals down lets you put big red check marks next to them when you are finished – and I find that checking off completed goals is a great way to build and maintain momentum.

Be and stay goal driven… it’s not such a big secret, is it?  But, it holds the key to achieving your dreams!  Goal setting unleashes the power of Can Do to help you become the person you were meant to be!

The First Secret of a Can Do Life Is….

TodayIt starts today!  Each Wednesday for seven weeks, I will share one of the Seven Secrets of a Can Do Life on this blog. These are not earth shattering revelations by any means. They are what I like to call “hidden in plain sight.”  In naming them and focusing on them, these secrets emerge and connect to make life fuller, healthier and more rewarding. They are distilled from my years of training and work in behavioral health, trying to find better ways to support people to work through problems and live a healthier life. And they come from reflecting on my personal life-changing experiences that I narrate in the Can Do Chronicles.

So, without further delay, here is….

The First Secret of a Can Do Life:

GratitudeDevelop and keep a positive attitude, grounded in gratitude every day.

Sometimes so easy. Sometimes so difficult.  Always, so worth it!

So easy? Really?

Yes! Take 5 to 10 minutes every morning to intentionally focus on what the possibilities are for the day and what you have to be grateful for. Make it a habit. Do it while you brush your teeth or while you get dressed or something else you do every morning. Then write it down. See?  So easy you can hit the EASY button with this one!

BUT WAIT!! It’s NOT so easy when life gets so full of distractions and stress that the first thing we do when we wake up is look at email messages on our phones and start building our anxious mental list of TO DOs and off we go….into traffic and meetings… with people and deadlines… and stress and problems.  Into the “messiness and stressiness” that is life!

One of the most important things I realize and accept for a fact is that life is messy and filled with challenges and detours that are out of my control on the path to achieving my goals and dreams. That is why taking that time everyday to make that intentional commitment to possibilities and gratitude is so important to me, and why it is the FIRST and most important secret.

I know when I don’t take those special minutes in the morning, or even sometimes more than once a day, to make that commitment to stay focused on the positive and grounded in gratitude, that those are the times I become unglued and stressed out. Life starts to run me, I don’t run my life!  And, I lose sight of the many, many things and people that I have to be grateful for and the many, many possibilities that life holds for me each day.

In the old days, I really thought it was okay to blame other people for how I felt and what was going wrong… the contract with deliverables and deadlines that were impossible to meet… the staff that did not follow the directions… the data in the report was wrong, and on and on and on… I had a hit list of people and reasons that my life was not going according to plan!  I call it the chip on my shoulder, and the but in yes…BUT!

Then I grew to realize that it is not the circumstances in my life but how I react to them, my attitude,shutterstock_45177145 that makes all the difference. I am responsible for my attitude = how I react and how I feel. It is a real value to me that I keep control my attitude and take the BUT out of my YES to life. Blaming other people and things puts them in charge of my attitude, and to some extent, in charge of me! And, I don’t want to give control of my attitude to other people, whether things are going well or going poorly!

Taking that time every day to focus on the possibilities and grounding the day in gratitude keeps me more focused, and life’s “messiness and stressiness” are much less annoying. I am open to discovering new ways to approach challenges and solve problems, rather than hitting the mental “play button” with a rant about how life is not fair.

Making this commitment every day – and like I said, sometimes more than once a day! – has built a very healthy habit that helps me resist hitting that “play button,” protects me against stress, helps me think more clearly and makes it much easier to recover when things aren’t going well. And, I have realized that it makes me a much more attractive, enjoyable and engaging person to be around! That discovery is one of the biggest things in my life that I am grateful for.

There you have it. The first secret. I hope this little secret makes as big a difference in your life as it has in mine!

HELPFUL HINT: Make and keep a gratitude list every day. You can have repeats, but add at least two new things you are grateful for to the list each day.
